Team Presence

AI Phone System ยท Work the calls

Team Presence shows you who on your team is available, on a call, or away, right in the Voxtell app. You check it before you transfer, so you never send a customer to someone who cannot pick up. It works across every person and every location on your account.

What it does

Team Presence gives you a live view of everyone on your phone system. Each teammate shows a status: available, on a call, or away. Before you transfer a caller, you look, you know, you act. No more blind transfers that land in voicemail. No more putting a customer on hold while you walk over to see if someone is free.

Presence reaches across locations. The person answering at one site can see who is free at another, which matters most for the people who route calls all day: front desks and dispatchers. Instead of guessing, they send each caller to a person who can actually answer.

The payoff is speed and fewer lost callers. Customers who switched to Voxtell have answered calls 21% faster and cut abandoned calls by 25%. Presence is part of how that happens: when transfers land on the first try, callers stop bouncing and stop hanging up.

How it works in Voxtell

Presence lives in the Voxtell mobile and web apps, which are included in your plan. Every user on your account shows a live status, so anyone answering calls can see the whole team at a glance: who is free, who is mid-call, who is away from their desk. If your business runs multiple sites, you see them all in one place.

You do not set any of this up alone. Voxtell's in-house team in Orlando configures the system with you: your users, your locations, and how calls should move between them. Setup, migration, and configuration are included, so your front desk and dispatchers start day one with a presence view that matches how your business actually works.

Presence also works alongside the rest of the system. Call queues hold callers when the whole team shows busy, and the included AI Receptionist can answer so callers are never met with silence. During setup, our team walks through how those pieces fit together for you.

How businesses use it

Realty

A brokerage front desk fields buyer and seller calls all day. With presence, the receptionist sees which agents are free before transferring, so a hot lead reaches a live agent instead of voicemail. Voxtell runs phones for realty customers including The Keyes Company and a Walt Disney World Resort community.

Logistics

A dispatcher gets a carrier call meant for a coordinator at another terminal. One glance at presence shows who is free across every site before the transfer goes through. One Voxtell logistics customer runs 15 locations on the platform, all visible in one view.

County health

A resident calls the main line needing a specific department. The person answering checks presence and transfers only when someone in that department is actually free, instead of sending the caller into a voicemail loop and hoping for a callback.

Restaurants

A catering inquiry comes in during the lunch rush. The person at the host stand sees whether the manager is on a call before transferring. If the manager shows busy, they take a message instead of leaving the customer on hold while the kitchen is slammed.

RV resorts

A guest calls the front office about a reservation. Staff can see whether the reservations desk is free or already on a call, and route the guest to the right available person the first time, even during peak season check-ins.

Pet grooming retail

A customer calls a Woof Gang Bakery and Grooming location to ask about an appointment. The person at the register sees whether the groomer is available before transferring, so the caller is never handed off to a phone nobody can answer.

Best practices

  • Check presence before every transfer. Make it a habit for anyone who answers calls: look first, transfer second.
  • Keep statuses honest. When you step away from your desk, make sure your status shows it, so nobody transfers a caller to an empty chair.
  • Use cross-site presence instead of voicemail. If everyone at one location is busy, send the caller to an available person at another site.
  • Give your front desk and dispatchers the presence view as their home base. The people who route the most calls benefit from it the most.
  • Pair presence with call queues for busy hours, so callers are held and answered in order when the whole team shows busy.
  • Revisit your setup as the team grows. Voxtell's support team will adjust your configuration with you when you add people or locations.
